Our scans

Two different checks, easy to mix up: the policy compliance check inventories policy documents on the policies pages; the GOV.UK publication check audits the whole site against must-publish guidance. Prospect/Free use the GOV.UK scan once; Premium runs both automatically every 2 weeks.

Policy compliance check

Automatic on Premium

Every 2 weeks on Premium

Checks the school’s policies pages for published policy documents (PDFs / Google Docs) and matches them to a DfE-style policy checklist (safeguarding, complaints, behaviour, and similar).

How it differs: Narrow focus: the policies area of the site and whether named policy documents appear to be published, not the full GOV.UK must-publish list.

What it does

This is a document inventory of the policies section. We ask: “Is a Complaints policy linked? A safeguarding policy? Does a stated review date look past?” It does not score the whole website against every GOV.UK publication duty (that is the separate GOV.UK publication check).

Free
Not on Free or Prospect. Premium only.
Premium
Runs automatically every 2 weeks.

What it looks like

All policy links discovered on the policies page
Checklist: each policy type found or missing
Review / amendment dates when we can extract them from the file

GOV.UK publication check

Automatic on Premium

Every 2 weeks on Premium, one email (Prospect) or one dashboard run (Free)

Audits the wider school website for GOV.UK must / should publication items (curriculum, SEND, admissions, governors, PE premium, financial info, and more).

How it differs: Wide focus: the whole public website against GOV.UK “what maintained schools must publish online”, not only the policies document list.

What it does

This is a site-wide publication audit. We crawl many sections (not just /policies) and score each GOV.UK guidance item as found, missing, or unclear. It answers a different question from the policy check: “Does the site appear to publish the things GOV.UK expects?” rather than “Which policy PDFs are on the policies page?”

Free
Prospect: one email summary (no account). Free account: one report saved in the dashboard. Same scan type, different delivery.
Premium
Unlimited runs plus automatic every 2 weeks.

What it looks like

Must / should / unclear summary totals
Per-item status with evidence link or snippet
Covers pages across the whole site, not only policies

Thin crawls stay “unclear” rather than false “missing”.

Orphan documents finder

Automatic on Premium

Premium

Finds documents that are still publicly reachable but no longer appear linked from the school’s current website (outdated PDFs left behind after a redesign).

How it differs: Neither a policies checklist nor a GOV.UK must-publish score; it finds leftover files still online that the live site no longer links to.

What it does

Schools often upload a new policy and leave the old PDF live. Search engines still find the old file. Orphans are those leftovers, useful to remove so people are not reading superseded documents.

Free
Premium only.
Premium
Included with Premium (scanner wiring in progress).

What it looks like

Orphan file URL still publicly reachable
Note that it is not linked from the current site
Prompt to review / remove / re-link the current version

Example excerpt

Complaints_Policy_2023.pdf

Still publicly reachable, not linked from the current policies page

Review whether this outdated copy should be removed.
